What the app at app.brandonrutlidge.com keeps about you, why, who helps run it, and for how long.
Who is responsible
Brandon Rutlidge, [To add: the business address], contact@brandonrutlidge.com. I decide how your account and billing details are used. For the episodes you upload, I process them for you, to make your clips.
What is kept
- Your account: your email address, whether the account is for a business, and when you joined.
- Billing: your plan, your trial and payment dates, and the hours you’ve used. Stripe holds your card details; we never see the full card number.
- A card check: Stripe’s code for your card (not the card number), so the same card can’t get a second free trial.
- Your episodes and clips: the episodes you upload, the clips made from them (with their titles and text), and for each Short its own stretch of the episode, a few seconds either side, so you can change its captions or framing after the episode itself is deleted. They’re only used to make your clips, never to improve the tool.
Why
To run your account and the tools you pay for, to take payments, to send you the emails about your trial and plan, and to keep the records the law asks for.
Who helps run the app
- Stripe: payments. [To add: where Stripe stores the data]
- WorkOS: sign-in. [To add: where WorkOS stores the data]
- Neon: the database, in London.
- Vercel: runs the app (its server code runs in London). [To add: where Vercel keeps its logs]
- Resend: sends the emails. [To add: where Resend stores the data]
- Google Cloud: stores episodes and makes the clips, in London.
- AssemblyAI: writes the transcript, in the EU. Only the sound is sent.
- Anthropic: picks the clips and writes the titles from the transcript. [To add: where Anthropic processes the data]
How long things are kept
- Uploaded episodes: 2 days after the clips are made.
- Clips, and each Short’s stretch of the episode: 30 days after the clips are made. [For the solicitor: the stretches were added on 27 Oct]
- “Delete now” on an episode deletes it and its clips straight away.
- Your account: until you close it. Closing it removes your email address and sign-in.
- Billing records: until 5 years after the 31 January filing deadline for that tax year (HMRC).
- The card check: kept after an account is closed, so a closed account can’t be used for a second free trial. [To add: how long]
- Suppliers’ copies: [To add: each supplier’s period, such as AssemblyAI’s and Anthropic’s]
